Refund Policy
ONE Creators Asia Impact Awards & Expo 2026 — organized by IdiaOne Events. Event Date: 22 August 2026. Venue: Chennai Trade Centre, Nandambakkam, Chennai.
1. Purpose of This Refund Policy
This Refund Policy explains the refund, cancellation, adjustment, transfer, and credit terms applicable to ONE Creators Asia Impact Awards & Expo 2026, including free nominations, paid tickets, visitor passes, VIP passes, exhibitor stall bookings, sponsorship packages, branding packages, partnership packages, and other paid event-related services offered by IdiaOne Events.
By registering, purchasing a ticket, booking an exhibitor stall, confirming a sponsorship package, or making any payment to IdiaOne Events, the participant agrees to this Refund Policy.
2. General Refund Principle
IdiaOne Events follows a fair and transparent refund review process. Refund eligibility depends on the type of registration or payment, the stage of service delivery, confirmation status, event preparation work completed, payment verification, and applicable law.
Refunds, where approved, will be processed only after verification of payment records, booking details, user information, and event status.
Refunds will normally be processed to the original payment method used by the participant. Where this is not technically possible, IdiaOne Events may request valid bank or UPI details from the participant.
3. Free Nomination Policy
OCAI Awards 2026 may offer free nomination registration for selected award categories, campaigns, promotional periods, or official nomination windows.
Since free nomination does not involve a nomination payment, no refund is applicable for free nomination submissions.
A free nomination only allows the nominee to submit their profile for review. It does not guarantee shortlisting, voting approval, finalist status, award selection, stage recognition, media coverage, prize eligibility, certificate issuance, or winner announcement.
IdiaOne Events reserves the right to accept, reject, verify, hold, correct, move, or disqualify any free nomination if:
The submitted information is false, incomplete, duplicate, or misleading.
The nominee does not meet category eligibility.
The nominee has submitted fake social media details.
The profile contains inappropriate, illegal, abusive, copied, or misleading content.
The nomination appears to be submitted by an unauthorized person.
The nominee violates event rules, voting rules, or brand guidelines.
The nomination is submitted after the official deadline.
The nomination category is closed, changed, merged, or removed.
Free nomination is provided as an opportunity to participate in the award process and does not create any financial refund liability for IdiaOne Events.
4. Paid Add-On Services for Nominees
Although nomination may be free, certain optional services may be paid, such as:
Premium profile listing
Featured nominee promotion
Creator spotlight campaign
Digital certificate
Physical certificate
Trophy shipping
Special media coverage
VIP nominee pass
Guest pass
Paid voting promotion support, where officially offered
Branding or promotional packages
Refunds for paid add-on services will depend on whether the service has already been activated, processed, published, delivered, reserved, or scheduled.
Once a paid add-on service is activated, published, designed, promoted, dispatched, or delivered, it will generally not be eligible for refund.
Refund may be considered only if:
Duplicate payment was made.
Payment was debited but service was not received due to technical failure.
Wrong amount was charged due to system error.
The service was cancelled by IdiaOne Events before execution.
Refund is required under applicable law.
5. Ticket Refund Policy
This section applies to paid event tickets and passes, including but not limited to:
Visitor Pass
Creator Pass
Regular Pass
VIP Pass
Delegate Pass
Business Pass
Media Pass
Guest Pass
Team Pass
Premium Access Pass
Award Ceremony Pass
Expo Access Pass
Paid tickets and passes are issued for a specific event, date, venue, access category, and participation format. Once a ticket is confirmed, it is generally non-refundable except in the cases clearly mentioned in this policy.
6. Refunds Allowed for Tickets
A ticket refund may be considered in the following cases:
Duplicate payment for the same ticket.
Payment debited but ticket not generated.
Incorrect amount charged due to technical or system error.
Ticket cancelled by IdiaOne Events before event access is provided.
Event fully cancelled by IdiaOne Events and not rescheduled.
Payment captured but confirmation not issued after verification.
Any refund required under applicable law.
The user must submit valid proof of payment, registered email ID, registered mobile number, ticket ID, transaction ID, and reason for refund request.
7. No Refund Cases for Tickets
Ticket refund will generally not be provided in the following cases:
No-show at the event.
Late arrival at the venue.
Personal schedule change.
Travel delay or travel cancellation.
Health-related inability to attend.
Failure to carry valid ID proof.
Failure to show valid QR code or ticket confirmation.
Denial of entry due to violation of event rules.
Denial of entry due to fake, duplicate, transferred, or misused ticket.
Loss of ticket confirmation caused by the attendee.
Dissatisfaction with seating, crowd, program flow, speaker changes, celebrity absence, sponsor changes, or agenda changes.
Partial attendance or missed sessions.
Unauthorized resale or transfer of ticket.
Purchase from unofficial or unauthorized sources.
8. Free Pass Policy
Free passes, complimentary passes, invite passes, creator invite passes, partner passes, media passes, or guest passes issued without payment have no cash value.
Free passes are not eligible for refund, cash exchange, credit note, reimbursement, or compensation.
IdiaOne Events reserves the right to approve, reject, revoke, modify, or cancel free passes for operational reasons, security reasons, duplicate registration, misuse, incorrect details, capacity limits, or violation of event rules.
9. Ticket Transfer Policy
Tickets may not be transferred unless officially permitted by IdiaOne Events.
If ticket transfer is allowed, the request must be submitted before the transfer deadline announced by the organizer.
Ticket transfer approval may depend on:
Ticket category
Verification status
Event capacity
Access type
Security rules
Payment confirmation
Organizer approval
IdiaOne Events is not responsible for tickets transferred privately without written approval.
10. Ticket Upgrade and Adjustment Policy
A participant may request an upgrade from one ticket category to another, subject to availability and organizer approval.
For approved upgrades, the participant must pay the price difference, applicable taxes, platform charges, and any other applicable fees.
Downgrades from a higher ticket category to a lower ticket category may not be eligible for partial refund unless specifically approved by IdiaOne Events.
11. Exhibitor Stall Booking Refund Policy
This section applies to exhibitors, brands, agencies, businesses, startups, creator platforms, service providers, and other organizations booking stall space at OCAI Awards & Expo 2026.
Exhibitor booking may include:
Stall space
Shell scheme stall
Raw space
Startup pod
Brand booth
Product display area
Promotional counter
Demo zone
Branding space
Additional furniture
Power requirements
Fascia name
Event listing
Exhibitor badge allocation
Exhibitor payments are collected to reserve physical space, block inventory, prepare layouts, coordinate branding, allocate vendor resources, and manage event operations. Therefore, once a stall is confirmed, the payment becomes linked to event planning and operational commitment.
12. Exhibitor Refund Eligibility
Exhibitor refund may be considered only in the following cases:
Duplicate payment for the same stall booking.
Payment received but stall booking not confirmed due to organizer-side unavailability.
Event fully cancelled by IdiaOne Events and not rescheduled.
Wrong amount charged due to system or invoice error.
Stall booking rejected by IdiaOne Events before allocation.
Refund required under applicable law.
13. Exhibitor Non-Refundable Cases
Exhibitor payments will generally not be refundable once:
Stall space has been blocked or allocated.
Invoice has been raised and accepted.
Exhibitor confirmation has been issued.
Branding work has started.
Stall location has been reserved.
Floor plan allocation has been completed.
Exhibitor listing has been published.
Vendor coordination has started.
Event materials have been prepared.
The exhibitor cancels due to internal business reasons.
The exhibitor fails to attend the event.
The exhibitor does not complete required documentation.
The exhibitor violates event guidelines.
The exhibitor is denied participation due to false information or prohibited products.
14. Exhibitor Cancellation by Exhibitor
If an exhibitor wishes to cancel participation after booking confirmation, the following standard cancellation structure may apply unless a separate written agreement states otherwise:
Cancellation within 48 hours of payment and before stall allocation: refund may be reviewed after deducting payment gateway charges, taxes, and administrative costs.
Cancellation after stall allocation: payment is generally non-refundable.
Cancellation after branding, listing, or vendor work begins: payment is non-refundable.
Cancellation within 30 days before the event: payment is non-refundable.
No-show on event day: no refund, credit, or adjustment will be provided.
IdiaOne Events may, at its sole discretion, offer credit adjustment for a future event where operationally possible. Such credit is not guaranteed and must be confirmed in writing.
15. Exhibitor Space Change or Relocation
IdiaOne Events may modify stall numbers, layout, aisle position, zone allocation, or booth placement for operational, safety, technical, sponsorship, venue, or crowd-flow reasons.
Such changes do not automatically qualify for refund, provided an equivalent or reasonably suitable exhibitor space is offered.
16. Sponsorship Refund Policy
This section applies to all sponsorship packages, including but not limited to:

Sponsorship payments are connected to brand visibility, promotional commitments, event association, creative development, marketing inventory, digital campaigns, print materials, stage branding, website visibility, and event production planning.
Because sponsorship deliverables involve advance planning and allocation of exclusive brand rights, sponsorship payments are generally non-refundable after confirmation.
17. Sponsorship Refund Eligibility
A sponsorship refund may be considered only in the following cases:
Duplicate payment.
Payment received but sponsorship category not confirmed by IdiaOne Events.
Sponsorship package rejected by IdiaOne Events before activation.
Event fully cancelled by IdiaOne Events and not rescheduled.
Wrong amount charged due to invoice or payment error.
Refund required under applicable law.
18. Sponsorship Non-Refundable Cases
Sponsorship payments are generally non-refundable once any of the following has occurred:
Sponsorship confirmation has been issued.
Sponsor logo has been collected.
Sponsor name has been announced.
Website listing has been published.
Social media promotion has started.
Sponsor branding has been designed.
Sponsor benefits have been activated.
Printing, production, signage, LED, hoarding, or stage branding work has started.
Sponsor deliverables have been reserved.
Category exclusivity has been blocked.
Event inventory has been allocated.
Agreement, invoice, or proposal has been accepted.
Sponsor cancels due to internal approval issues.
Sponsor fails to submit materials on time.
Sponsor changes branding requirements after confirmation.
Sponsor does not attend the event.
Sponsor’s product or service is rejected due to legal, safety, ethical, or organizer policy reasons.
19. Sponsorship Deliverable Adjustment
If any sponsorship deliverable cannot be fulfilled exactly as originally planned due to venue restrictions, government regulations, safety requirements, design limitations, technical issues, or event layout changes, IdiaOne Events may provide a reasonable alternate deliverable.
Alternate deliverables may include:
Equivalent logo placement
Additional digital promotion
Website visibility
Social media mention
On-screen branding
Post-event report inclusion
Alternate event branding space
Future event credit, where approved
Such reasonable substitution will not automatically create a refund claim.
20. Partner and Branding Package Refund Policy
Partnership packages, branding packages, promotional campaigns, media packages, and collaboration packages are governed by the specific proposal, invoice, email confirmation, or agreement issued by IdiaOne Events.
Payments are generally non-refundable once the package has been confirmed, activated, designed, promoted, published, printed, scheduled, or operationally reserved.
Refund may be considered only for duplicate payment, payment error, non-confirmation by organizer, full event cancellation without rescheduling, or legal requirement.
21. Payment Gateway Charges, Taxes, and Deductions
Where a refund is approved, the refundable amount may be subject to deduction of:
Payment gateway charges
Bank charges
Platform convenience fees
Administrative processing costs
GST or taxes already remitted, where applicable
Vendor costs already incurred
Design, printing, branding, or production costs already executed
Any other non-recoverable third-party charges
The final refundable amount will be communicated after verification.
22. Duplicate Payment Refund
If a user, attendee, exhibitor, sponsor, or partner makes a duplicate payment for the same confirmed service, IdiaOne Events will verify the transaction and process refund of the duplicate amount where applicable.
The user must provide:
Name
Email ID
Mobile number
Payment receipt
Transaction ID
Amount paid
Date of payment
Screenshot or bank confirmation
Duplicate payment refunds will be processed after successful verification.
23. Failed Payment or Payment Debited Without Confirmation
If payment is debited but ticket, pass, invoice, booking, or confirmation is not generated, the user must contact the support team with transaction details.
After verification, IdiaOne Events may:
Confirm the booking manually; or
Reissue the ticket/pass/invoice; or
Process refund if the payment was received but service confirmation cannot be issued.
Sometimes banks, UPI systems, or payment gateways may automatically reverse failed transactions. The time required for reversal may depend on the respective financial institution.
24. Event Postponement
If OCAI Awards & Expo 2026 is postponed by IdiaOne Events, all valid tickets, passes, exhibitor bookings, sponsorship packages, and confirmed registrations may be transferred to the rescheduled date.
A postponement does not automatically qualify for refund unless:
IdiaOne Events officially announces a refund window; or
Refund is required under applicable law; or
A separate written contract provides refund rights.
Where possible, IdiaOne Events may offer transfer, credit, revised deliverables, or future event adjustment.
25. Event Cancellation by Organizer
If the event is fully cancelled by IdiaOne Events and is not rescheduled, refund eligibility will be reviewed based on the payment type.
For ticket holders, the base ticket amount may be refunded after deduction of applicable non-refundable charges, where legally permitted.
For exhibitors, sponsors, partners, and branding clients, refund or credit will depend on the stage of deliverable execution, contract terms, vendor costs, production costs, promotional work completed, and non-recoverable expenses already incurred.
IdiaOne Events will not be responsible for personal or business expenses incurred by participants, including:
Travel bookings
Hotel bookings
Visa costs
Food expenses
Logistics costs
Staff costs
Marketing costs
Product shipping costs
Business opportunity loss
Reputation loss
Revenue loss
Third-party vendor costs arranged independently by the participant
26. Force Majeure
Refunds may not be available, or may be limited, where the event is cancelled, postponed, restricted, relocated, delayed, or modified due to circumstances beyond the reasonable control of IdiaOne Events.
Force majeure events may include:
Natural disasters
Fire, flood, cyclone, earthquake, or severe weather
Government restrictions
Public health emergencies
Law and order issues
Venue closure
Strike, bandh, shutdown, or civil unrest
Security threats
War, terrorism, or national emergency
Technical failure beyond organizer control
Transport disruption
Power failure affecting venue operations
Any other event beyond reasonable control
In such circumstances, IdiaOne Events may provide rescheduling, credit, transfer, alternate access, revised deliverables, or another reasonable solution at its discretion.
27. Refund Request Process
All refund requests must be submitted in writing through the official support email.

The request must include:
Full name
Registered email ID
Registered mobile number
Ticket ID, booking ID, invoice number, or nomination ID, if applicable
Transaction ID
Payment receipt
Amount paid
Date of payment
Reason for refund request
Supporting screenshot or document, if applicable
Incomplete refund requests may be delayed or rejected until all required details are provided.
28. Refund Review Timeline
Refund requests will be reviewed within a reasonable period after complete details are received.
If approved, the refund will be initiated through the original payment method or another legally acceptable payment mode.
The time taken for the refunded amount to reflect in the participant’s account may depend on the bank, payment gateway, UPI provider, card network, or financial institution.
29. Incorrect Details
IdiaOne Events will not be responsible for refund failure, delay, or misdirected refund caused by:
Incorrect bank account details
Wrong UPI ID
Incorrect registered mobile number
Incorrect email ID
Incomplete transaction information
Invalid payment proof
Mismatch between payment record and refund claimant
Participants must ensure that all submitted refund details are correct and verifiable.
30. Unauthorized Payments
Participants must make payments only through official IdiaOne Events payment links, invoices, bank accounts, QR codes, or authorized payment channels.
IdiaOne Events will not be responsible for payments made to:
Fake accounts
Unauthorized agents
Impersonators
Unofficial QR codes
Fraudulent websites
Personal accounts not approved by IdiaOne Events
Third-party pages claiming false association with the event
Users are advised to verify payment details before completing any transaction.
31. Final Decision
All refund decisions will be made after verification of payment records, event status, service delivery, cancellation reason, contract terms, and applicable law.
The decision of IdiaOne Events shall be final, subject to applicable law.
